1. Who we are

This website and the Plutoo Comet product are operated by Plutoo (trading as Plutoo Comet) (“we”, “us”, “our”). For privacy enquiries contact [email protected].

2. Scope

This policy covers personal data we process when you visit comet.plutoo.co.uk, book a demo, request a trial or call, use our chat widget, or otherwise contact us. It also summarises how we handle account and support data for the Comet product. Product customers remain the controller of landlord, tenant and property data they upload; we process that data under our customer agreement / DPA.

3. Information we collect

3.1 Information you give us

• Name, email, phone, company / agency name and message content from demo, call-back or trial forms
• Chat messages you send via the on-site chat widget
• Account registration and profile details if you create a Comet account
• Support and sales correspondence

3.2 Information collected automatically

• Technical data such as IP address, browser type, device and pages visited (server logs and similar)
• Cookie / similar storage preferences you set via our cookie banner (see our Cookie Policy)

3.3 Information from third-party tools we use

• Spam protection signals if Google reCAPTCHA is enabled on forms
• Form delivery and lead storage via our form and CRM processors (listed below)

4. How we use your data and lawful bases

• Respond to enquiries, demos and trials — legitimate interests and/or steps prior to a contract
• Provide and improve the website and product — legitimate interests; contract where you are a customer
• Security, fraud and spam prevention — legitimate interests
• Marketing emails about Plutoo products — consent where required (PECR), or soft opt-in where allowed; you can unsubscribe at any time
• Legal and compliance obligations — legal obligation

5. Who we share data with

We do not sell your personal data. We use trusted processors to run the site and sales process, including:

• Formspree — receives demo / enquiry form submissions and emails them to us
• Google Cloud / Firebase (Plutoo Hub) — stores inbound leads for our sales team
• Google — optional reCAPTCHA on forms; Google Fonts only if you allow functional cookies
• Hosting / email providers — to serve the website and send transactional mail
• AI / chat providers — if chat is connected, message content may be processed to generate replies

These providers may process data outside the UK. Where that happens we rely on appropriate safeguards (for example UK IDTA / SCCs or the provider’s transfer mechanism).

6. Retention

• Demo / trial / call enquiries: normally up to 24 months after last contact, unless you become a customer or ask us to delete sooner
• Marketing contacts: until you unsubscribe or we receive a deletion request
• Chat transcripts: up to 12 months unless needed for support or security
• Customer account and product data: for the life of the contract and a limited period afterwards as set out in the customer agreement / DPA
• Server logs: typically up to 90 days

7. Cookies and similar technologies

We use essential cookies/storage for site operation and remember your cookie choices. Optional functional tools (such as Google Fonts or reCAPTCHA) load only if you consent. Details are in our Cookie Policy. You can change your choice at any time via “Cookie settings” in the footer.

8. Your rights

Under UK GDPR you may have the right to:

• Access your personal data
• Rectify inaccurate data
• Request erasure
• Restrict or object to certain processing
• Data portability
• Withdraw consent where we rely on consent

9. Children

Our website and product are aimed at businesses and adults. We do not knowingly collect data from children.
